Privacy & cookies notice

Last updated: 15 August 2026

Draft document. This sets out SoundServe's intended position and has not yet been reviewed by a legal professional. It must be before the platform takes live bookings or payments.

Who we are

SoundServe is a marketplace that introduces customers to independent musicians and bands in the United Kingdom. For the purposes of UK GDPR we are the data controller for the personal data described in this notice.

What we collect

We collect only what the service needs to work:

  • Waitlist signups: your email address, and whether you are a customer or a musician.
  • Musician applications: your name, stage name, contact details, location, instruments, experience and biography.
  • Booking requests: your name, contact details, organisation, and the event details you enter — date, times, venue, requirements and any notes.
  • Technical data: IP address and basic request information, used for rate limiting and to keep the service secure.

Why we use it, and our lawful basis

  • To pass your booking request to the musician you chose — necessary to perform the service you asked for (contract).
  • To create and verify musician profiles — necessary to perform our agreement with the musician (contract).
  • To email you about the launch if you joined the waitlist — with your consent, withdrawable at any time.
  • To prevent abuse, spam and fraud — our legitimate interest in keeping the marketplace safe.

Who sees your data

When you send a booking request, the musician you selected receives the event details and your contact information — they cannot respond otherwise. We do not sell personal data, and we do not share it with advertisers.

Service providers who process data on our behalf (hosting, email delivery, and payment processing when it launches) are bound by contract to process it only on our instructions.

How long we keep it

  • Waitlist entries: until launch, or until you unsubscribe.
  • Booking records: for six years after the engagement, to meet UK accounting and tax requirements.
  • Unsuccessful musician applications: twelve months, then deleted.

Your rights

Under UK GDPR you can request access to your data, ask us to correct or delete it, object to or restrict processing, withdraw consent, and request portability. To exercise any of these, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Cookies

SoundServe uses only essential cookies needed to make the site work. We do not use advertising or third-party tracking cookies. If we introduce analytics, we will ask for your consent first and update this notice.
